Project
Management System

Portfolio and project management built for how grant-funded organisations actually work — programmes, field delivery, budgets, and the donor reports that come out of all of it.

The Problem

Spreadsheets drift. Donor reports can't.

Most non-profits manage programmes in a set of workbooks that someone has to keep agreeing with each other. The same number gets typed in two places, and one day the two no longer match — with nothing to show that it happened.

Commercial project tools don't fit either: they know nothing about grants, deliverables promised to a funder, or evidence from the field. So every donor report becomes a reconstruction exercise.

From several workbooks to one source of truth
From typed totals to figures calculated from records
From discovering delays to seeing them cascade
From report-writing week to a generated document

Capabilities

The whole life of a project

🗂

Portfolio at a Glance

Every live programme on one page — status, phase, projected against promised completion, the buffer left, and what needs escalating.

⛓

Dependencies & Delay Cascades

Say what each activity must follow. When one slips, the system shows exactly what else slips with it — instead of someone working it out again each time.

🎯

Deliverables from Evidence

Progress against what the grant promised is calculated from recorded field sessions. The achieved figure cannot be typed in, so it cannot drift.

💰

Budgets & Spend Ledger

Budget heads, allocations, and a ledger of individual payments. Lines are never edited, only reversed, so your records and Finance's stay comparable. Under-spend is flagged too.

📋

Donor Reports, Generated

Choose the period and the system assembles activities, people reached, targets against achievement, delays, and budget into a document — with an approval chain.

📍

Field Capture

Field teams record the sessions they ran from a phone or laptop. That evidence feeds deliverables and reports directly, with no re-keying.

Architecture

A system that can say no

The thing it does that a spreadsheet cannot is refuse an entry that contradicts another — and explain why. Staff sign in with the work accounts they already have, see only the tabs their role uses, and every change lands in an audit trail.

Tech Stack

  • FastAPI backend · installable web app
  • PostgreSQL with a full audit trail
  • Google Workspace single sign-on
  • Role-based access for programme, finance, and leadership
  • Nightly backups with verified restores
  • Links to volunteer and HR systems

In Practice

From kickoff to live in three days

For a grant-funded non-profit in India, the system went from kickoff to live — with staff signing in through their work accounts — in three days, and shipped with about 350 automated tests. Its old project workbook carried a hand-typed achievement figure that no longer matched the session records beneath it. In the new system that figure is calculated and cannot be typed at all.
